Please Note: This position will be employed by a firm in Chicago, IL, but the position is based in the Upton, NY area at a federal agency site. Candidates that have administrative experience working for a local, state or federal agency are preferred. Only qualified candidates will be contacted. Interviews will be conducted within the next (1) to (2) weeks onsite at the federal agency. _________ - Provide administrative support for Management and Core Team Members - Efficiently perform general office duties including typing, filing, scanning, faxing, email, and phone in an executive office environment - Effectively communicate and work with all levels of management, as well as Board of Directors, government regulators, and auditors, maintaining a high level of confidentiality - Maintain and coordinate Outlook calendars for multiple staff members - Organize and coordinate meeting functions for guests and executives - Coordinate domestic and foreign travel arrangements for various levels of management, including appropriate approvals and expense report processing - Maintain and process accurate time off request records - Ability to assess circumstances and problem solve with minimal supervision, exercising common sense and diplomacy - Assist with Records Management activities - Set up Video and Audio Conferences (Including Maintaining Conference Rooms) - Prepare documents as requested (letters, presentations, spreadsheets, etc.) All candidates must be well-versed in Microsoft Office (no less than intermediate-level knowledge), to include: Outlook, Word, PowerPoint and Excel. Knowledge of Microsoft SharePoint would be advantageous.
